What Is Power BI?

    Organizations rarely lack data. The practical problem is that useful facts may be scattered across files, databases, cloud services, and business systems, while decision-makers need evidence they can understand and act on.

    Power BI is Microsoft's business analytics platform for turning data into actionable insights. It connects analytical work to decisions: source data is the input, an understandable analytical view is the working result, and an actionable insight is the outcome someone can use.

    That purpose is narrower than replacing the systems that create transactions and broader than simply drawing a chart. An operational database can continue recording orders, for example, while Power BI connects to the order data and helps people see which products or regions need attention.

    Power BI provides integrated tools and services to connect to data, visualize it, and share it across an organization. The three capabilities form one value path:

These are different outcomes inside the same analytics platform, not separate products.

    For PL-300, the central perspective is the report creator and data analyst. That person converts available data into useful analysis for other people, but must understand the neighboring roles to design the right handoffs.

    Consider a retail reporting solution. An analyst connects sales data, creates the model and report, and publishes the result. Store managers then explore the report to compare performance. A developer might embed the same analytical experience in an internal portal. Power BI supports all three needs with integrated analytics tools.

    This division also rules out misleading descriptions. Power BI is not a chart viewer restricted to mobile business users, not a database engine restricted to local report creators, and not a directory platform restricted to developers. Creation, exploration, and extension can all belong to one solution.

    Think of Fabric as the broader platform and Power BI as one of its core workloads. Power BI contributes the experiences that turn data into interactive analysis, while the wider Fabric environment brings related analytics capabilities together.

    This positioning matters whenever both names appear in a scenario. “Fabric” identifies the encompassing analytics platform. “Power BI” identifies the workload and experiences used for analytics and visualization within that platform.

    Integration does not erase the product boundaries that users recognize. Power BI shares Fabric capabilities such as data integration and security, while Power BI reports, dashboards, and the Power BI service remain Power BI experiences. The shared and distinctive parts can be summarized this way:

    For an existing Power BI team, adopting Fabric does not create a mandatory rebuild. Power BI content and workspaces stay available, and users can sign in with an existing Power BI or Microsoft 365 account. No migration is required merely because Power BI is part of Fabric.

    Suppose a company already has sales reports and collaborative workspaces, then enables additional Fabric capabilities. The reports do not have to become notebooks, paginated documents, or mobile-only content. The workspaces do not become identity directories or move into a phone app. Existing Power BI content stays available within the familiar Power BI interface and experience while Fabric adds capabilities around it.

    The decision rule is simple: treat Fabric adoption as added platform capability, not as an instruction to delete, convert, or unnecessarily rebuild working Power BI content.

    5. Explore and analyze: filter, sort, drill down, and use built-in analytics to find insights.

    Each stage gives the next one something usable. A visual can only communicate the intended result when the relevant data has first been connected, prepared, and modeled.

    The route continues after report design:

    1. Share and collaborate: publish to the Power BI service, share with the team, and collaborate on the result.
    2. Administer and secure: manage access, establish security roles, and monitor usage.

    For example, an analyst might connect to sales data, clean it, relate orders to products, create calculations, and build an interactive report. The analyst can then publish the report so colleagues explore it and can apply the appropriate access controls. The source system remains the source; Power BI supplies the connected analytical path to an audience.

    Later lessons examine the individual connectors, transformation tools, models, visuals, and governance controls. For now, remember the governing mental model: data is the input, an analytical view is the working result, and actionable insight is the outcome.

    Power BI Mobile apps are optimized for viewing reports on phones and tablets. They fit a manager who needs to consume a report while traveling, not an analyst who must perform the full modeling and authoring workflow on a phone.

    The three experiences work together as parts of one platform:

    Create and model in Desktop → publish, share, and collaborate in the service → view on the go in Mobile

    Choose by the primary requirement. If the task says “build a detailed model,” start with Desktop. If it says “let the team collaborate on the published result,” use the service. If it says “phone-optimized viewing,” use Mobile. When a scenario requires both model creation and team collaboration, create in Desktop and then publish to the Power BI service.
